Supplier Code of Conduct
Version 1, October 2026. Volcan Tours & Travel Limited plans and runs private safaris in Kenya, Tanzania, Uganda and Rwanda. Every safari depends on partners we trust: lodges and camps, hotels, transport providers, driver-guides, activity operators and community projects. This code sets out the standards we expect from all of them. It sits alongside our responsible travel policies and is shared with every supplier before we work together.
1. Who this code applies to
All accommodation, transport, guiding, activity, catering and community partners that deliver any part of a Volcan itinerary, and any subcontractor they use for it.
2. Laws, licences and insurance
- Hold every licence and permit required by law in the country where you operate, and keep them current.
- Carry insurance suitable for your service, including public liability cover and, for vehicles, comprehensive and passenger liability insurance.
- Follow park and reserve rules set by the Kenya Wildlife Service, Tanzania National Parks, the Uganda Wildlife Authority and the Rwanda Development Board.
3. Health and safety
- Keep vehicles, boats and equipment well maintained, inspected and fit for purpose.
- Have trained first aiders and a written emergency procedure that staff know.
- Match activities to guests’ ability and supervise them properly.
- Tell us about any accident, incident or serious complaint involving a Volcan guest within 24 hours.
4. Fair work and human rights
- Give staff written terms of employment and pay at least the legal minimum wage, working towards a fair living wage.
- Respect legal limits on working hours, including safe driving hours for drivers.
- No child labour, forced labour or bonded labour, under any circumstances.
- No discrimination or harassment on the grounds of gender, ethnicity, religion, disability or any other status.
- Let staff raise concerns without fear of punishment.
5. Child protection
- Zero tolerance of any form of child abuse or sexual exploitation of children.
- No orphanage visits or volunteering with children offered to Volcan guests.
- Report any concern about a child to the police or to Childline Kenya on 116, and tell us.
6. Animal welfare
- No riding, touching, feeding or baiting of wild animals, and no captive wildlife shows or performances.
- Keep vehicles on designated tracks and sightings at a respectful distance.
- Never sell or display products made from ivory, skins, teeth, shells, coral or other protected species.
7. Environment
- Reduce single-use plastic, and offer guests drinking water refills.
- Save water and energy, and dispose of waste and wastewater responsibly.
- Buy food and supplies locally wherever quality allows.
8. Communities and culture
- Employ and buy from people living around the places we visit wherever possible.
- Arrange community visits only with the community’s consent, and make sure contributions reach them directly.
- Respect local culture, privacy and sacred sites, and ask before photographing people.
9. Guest data and honest business
- Use guest information only to deliver the service, and protect it in line with Kenya’s Data Protection Act 2019 and, for European guests, the GDPR.
- No bribery, kickbacks or other corrupt practice.
- Describe your services, prices and conditions honestly.
10. How we check and what happens if things go wrong
We may ask for copies of licences and insurance, ask you to complete a short questionnaire, and visit your property or check your vehicles. If a standard in this code is not met, we will agree a corrective plan with you. A serious breach, especially of the child protection, safety or human rights sections, will end the partnership.
